Position Overview

The Before Care & Front Office Associate serves as a key crew member on MACS’ Operations Team acting as the fi rst point of contact for all school & community stakeholders; parents, staff, scholars, board members, volunteers, contractors, various vendors and campus partners, etc. The Before Care & Front Office Associate should be welcoming, personable, helpful and are also expected to demonstrate the school’s High-5-Habits: kindness, compassion, determination, integrity, & wonder. The Before Care & Front Office Associate is committed to representing the school in a professional and friendly manner at all times. In addition, it is essential that the person for this role is committed to supporting all functions of school operations, organized, able to multitask, work flexibly and maintains the confidentiality/privacy rights of all scholars, family, & staff.

General Duties & Responsibilities

Welcome Center

  • To be the fi rst point of contact for all stakeholders & guests
  • Extends a warm welcome to callers – including parents, visitors, contractors and delivery staff.
  • To effectively route telephone calls, transferring callers to relevant staff and taking and passing on messages as required.
  • To follow safeguarding procedures & protocols as outlined in the school wide safety manual
  • Staying ahead & in the know of all school business to ensure adequate, accurate, & timely communications with parents/families regarding all aspects of school life.
  • To ensure that various common areas of the welcome area remain tidy and that literature and forms are updated and replenished as necessary.
  • To receive and sign for all packages and deliveries
  • To record and post all outgoing mail

Infinity Care (Before Care)

  • Provide Before Care supervision/assistance from 6:30am – 7:30am

Check-In & Check-Out

  • Use our school-wide database information & security systems to check scholars & other stakeholders in/out
  • Maintain accurate digital and paper records of check-in & check-out history of scholars and stakeholders
  • Maintain accurate digital & paper records of staff & contractor time-sheets
  • Provide 1st day calling of absent scholars

Administrative/Clerical Duties

  • Maintain and update school information, records and databases.
  • Assist with the delivery of stationery, materials and resources to classes and ensure that stock levels are maintained.
  • Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, fi ling, phone management, etc.) for the purpose of supporting offi ce operations
  • Provides assistance with special projects/events as needed
  • Carries out additional duties as assigned by the Director of Operations & School Leadership Team

Compliance & Risk Management

  • Be aware of and comply with all school policies and procedures particularly relating to child protection, equal opportunities, health and safety and security, confi dentiality and data protection; reporting all concerns to an appropriate person
  • Carry out all duties with regard to the school’s policies and codes of conduct
  • Participate in training and other learning activities as required and to participate in appraisal and professional development
  • Set high expectations of conduct, whilst acting as a key crew member for Miles Ahead Charter school
  • Complete other duties as assigned by the Leadership Team

Scholar Attendance Record Keeping

  • Record daily scholar attendance
  • Maintain accurate & up to date attendance records
  • Prepare & distribute attendance reports to relevant departments
  • Assist in the implementation of schoolwide attendance policies
  • Partner with necessary departments to help promote & incentivize attendance schoolwide attendance initiatives
  • Follow-up on unexcused absences/tardies
  • Manage electronic attendance databases & software
  • Update/reconcile attendance database daily & resolve discrepancies
  • Assist Operations Team w/ census data entry uploads
  • Maintain & audit scholar permanent records folder within the records room
  • Assist Operations Team w/ schoolwide incoming & outgoing student records requests
  • Other duties as assigned

Education, Training, Experience

Minimum Qualifications

  • High school diploma or equivalent preferred.
  • Previous Attendance/Records Clerk experience in a school setting is preferred.
  • Ability to follow oral and written instructions.
  • Excellent written & oral communication skills
  • Extremely organized w/ the ability to enhance & maintain systems
  • Customer service experience
  • Attention to detail & accuracy
  • Strong data entry skills
  • Ability to maintain confidentiality of sensitive information
  • Willingness to perform routine tasks consistently.
  • Must be punctual and reliable for scheduled shifts.
  • Capability to work independently as part of a team
  • Must provide a criminal background check.
